Key Duties and Responsibilities (Job Description)
The Export Transport Coordinator will be responsible for the following duties:
Export Planning & Capacity Management
- Understand daily export truck requirements and ensure adequate transport capacity is secured based on shipment volumes and operational targets.
- Coordinate transportation schedules to ensure smooth cargo movement and timely deliveries.
- Support planning activities to minimize delays and optimize export logistics efficiency.
Transporter Sourcing & Allocation
- Work closely with the Transport Manager to identify, onboard, and allocate reliable transporters for:
- Local shunting operations
- Long-haul export transportation movements
- Ensure proper transporter selection based on reliability, cost, compliance, and operational efficiency.
Compliance & Documentation
- Ensure all transporters are fully vetted and approved.
- Verify transporter documentation including:
- Service agreements
- Insurance certificates
- Driver documentation
- Permits and operational licenses
- Ensure compliance with legal, regulatory, and company operational requirements.
Truck Positioning & Movement Control
- Coordinate with loading sites and field staff to ensure trucks are positioned on time for loading.
- Monitor trucks throughout the transport process until successful gate-in at ports.
- Ensure minimal disruption to export schedules.
Tracking & Daily Reporting
- Follow up proactively with transporters and drivers regarding:
- Truck positioning
- Loading status
- Transit progress
- Port delivery timelines
- Prepare and circulate accurate daily export truck movement reports to relevant internal teams.
Market Transport Rate Monitoring
- Monitor market transport rates and logistics trends.
- Track factors affecting transportation operations including:
- Fuel price fluctuations
- Transport demand changes
- Market competition
- Regulatory shifts
- Provide management with recommendations for cost-effective planning and transporter negotiations.
